Shared inbox recommendations

Does anyone have any recommendations for a decent shared inbox system. This is more for internal use to handle content - we want to be able to send a brief from the shared content@ address and have any of us deal with the replies when they come in, ideally also we'd be able to add (private internal) notes within the thread for any discussion that needs to happen.

Permissions are important here, as we want to be able to add in freelancer content managers and VAs on an ad hoc basis and assign them only to specific tasks (either manually or via automated rules) rather than give them access to the whole inbox.

The best thing we've seen so far is freshdesk, which does everything we want but is meant more as a customer service platform so has a bunch of annoying SLA stats that other stuff that clutters it up a bit.

One other important feature - we want whatever is it to connect to the mailbox via imap so that we can save emails and replies on our own server. There's loads of gmail / gsuite ones that would do the job but they require you to forward the emails to an intermediary email, which traps you in the platform (if imap we can hop around as we like).

Anyone used anything they're happy with?
 
I'm not sure about some of your more technical requirements, but we've used Helpscout for a shared inbox for years and it's really good. Did a search just now and I think imap should be possible.

Looked at various options at the time and Helpscout was the best priced, nimblest and easiest to setup and use.
 
Yeah I did look at helpscout (I've signed up for trials on a fair few, regretting it now after getting endless emails) - it's one of those ones where you have to forward it.

Also really not a fan of the way the order of the emails and notes goes the opposite way (newest on top), although it could just be I haven't found the right setting as I stopped playing with it once I realised you can't connect via imap.
 
100% Intercom without a doubt.

This is one of the few I actually haven't looked at much. I saw them when searching around but they don't really give much info without needing to sign up, which I normally take as a bit of a red flag as to how annoying they're going to be.
 
I looked at front but it's another one where you need to forward the emails if you're using a custom mailserver. Unless there's a way around that?

It works really well doing this with Office 365 (which we're moving to), but we've just had forwarding rules set up for the past couple of years. Dead easy.

Personally, I wouldn't now worry about being trapped into a platform, but each to their own. It's a whole lot less hassle this way.
 
It's not just about being trapped in, it's about the flexibility. If it's over imap then we can potentially connect multiple systems to it if we wanted, whereas forwarding limits you to one. We may never need to do it but makes sense to choose something that has the option if possible.

It does look like you can sync with a gmail, so there is that option (run it through a gmail account first and then through front) but it seems like an unnecessary step.

Yeah I saw that. I'm more of a have a proper look around at all the features rather than a focused video kind of guy.

Also is the whole thing run as a messenger or can you use a traditional email format?
